Privacy Policy

This Privacy Policy explains how AcerOS collects, uses, stores, shares, and protects information when you visit our website, sign in to the platform, run lead-generation or direct-mail workflows, or contact us for support.

AcerOS is a software platform for real estate lead generation, workflow automation, export operations, and optional direct mail. This policy covers two kinds of information: information about you, our customers and visitors; and property and homeowner information that we source from public records and licensed providers and make available through the Service. By using the Service, you agree to the practices described here.

AcerOS is a software product currently operated as a sole proprietorship in the United States. For any privacy matter — including questions, access requests, or deletion requests — contact us at privacy@aceros.dev.

Account and profile information: your name, email address, authentication identifiers, organization or team information, business return address (for direct mail), and profile settings.

Operational information: zip codes, date ranges, filters, run history, lead results, export activity, webhook settings, creative and brand assets you upload, mail orders, and support messages.

Payment information: handled by Stripe. We receive limited billing details and transaction records but do not store your full card number.

Technical information: device and browser data, IP address, usage analytics, cookies, session identifiers, and security logs, collected automatically to operate, secure, and improve the Service.

Property and homeowner data: property addresses, sale information, and related records sourced from public records and licensed third-party providers. This data may relate to individuals who are not AcerOS users; see the section on homeowner and non-user data below.

We use information to authenticate users, provide dashboards and exports, run lead-generation and direct-mail workflows, design and send mail pieces, process subscriptions, credits, and billing, respond to support requests, enforce usage limits, monitor performance, prevent abuse and fraud, and comply with legal obligations.

We may also use aggregated or de-identified usage data to understand product performance, troubleshoot incidents, improve reliability, and develop new features.

We send two kinds of email. Transactional and service emails (such as account, billing, security, and order updates) are part of the Service and are not marketing. Marketing and product emails (such as onboarding tips, feature announcements, and offers) are sent on the basis of your relationship with us or your consent when you sign up.

You can opt out of marketing emails at any time using the unsubscribe link in those emails or by contacting us at privacy@aceros.dev, and we will honor your request promptly. You may still receive necessary transactional messages after opting out of marketing. If we ever send marketing by SMS, we will obtain the consent the law requires and provide a way to opt out.

We use third-party providers to operate AcerOS and share information with them only as needed to deliver the Service. These currently include: Supabase (authentication and database hosting), Stripe (payments), Resend (email delivery), our print-and-mail provider (direct mail printing, address verification, and delivery), Apify and similar data providers (lead sourcing), Kie.ai (AI-assisted creative and content generation), Vercel (application hosting), and Microsoft Clarity and Google Analytics (website analytics).

We do not sell your personal information. We share data only with service providers or partners as needed to deliver the product, comply with law, protect our rights, or maintain platform security, and we require providers to protect the information they process for us. This list may change as our infrastructure evolves.

AcerOS uses standard cookies and similar technologies to keep you signed in, remember preferences, analyze traffic, and protect the security of the Service. Some cookies are necessary for core platform functionality.

You may be able to manage cookies through your browser settings, but disabling certain cookies may limit the availability or performance of portions of the website or application.

We retain information for as long as reasonably necessary to provide the Service, maintain records, resolve disputes, enforce agreements, comply with legal obligations, and protect the security of AcerOS and its users. When information is no longer needed, we take reasonable steps to delete or de-identify it.

We use administrative, technical, and organizational safeguards designed to protect data, including encryption in transit (HTTPS), access controls, row-level security that separates each customer's data, and operational hardening of our systems. No internet-based service can guarantee absolute security, and you use the platform at your own risk.

If we become aware of a security incident that compromises your personal information, we will investigate promptly and notify affected users and any regulators as required by applicable law, describing the nature of the incident and the steps we are taking. You should keep your account email current so we can reach you.

Subject to applicable law, you may request to access the personal information we hold about you, correct it, or request its deletion, and you may ask questions about our retention practices. To make a request, email privacy@aceros.dev from your account email or otherwise verify your identity; we respond within the time required by applicable law. We may retain certain records where required for legal, security, billing, or fraud-prevention reasons.

If you are in the European Economic Area or the United Kingdom, you have rights under the GDPR, including rights of access, rectification, erasure, restriction, portability, and objection, and the right to lodge a complaint with your supervisory authority. If you are a California resident, you have rights under the CCPA/CPRA, including the rights to know, access, delete, and correct your personal information, and to opt out of the sale or sharing of personal information — and we do not sell or share your personal information for cross-context behavioral advertising. We will not discriminate against you for exercising your rights.

If you connect third-party systems such as CRM webhooks or payment methods, you are responsible for ensuring that your use of those integrations complies with applicable laws and contracts.

Some information in the Service relates to property owners who are not AcerOS users. This data is sourced from public records and licensed third-party providers and is provided to our customers for lawful outreach. We are not a consumer reporting agency, and this data may not be used for any purpose regulated by the Fair Credit Reporting Act.

If you are a property owner and want to know what information about you may appear in the Service, or to request correction or removal, contact us at privacy@aceros.dev and we will handle your request in accordance with applicable law. Because some data originates from public records, removal from our Service does not remove it from its original public source.

We partner with Microsoft Clarity to capture how you use and interact with our website through behavioral metrics, heatmaps, and session replay to improve our products and services. Website usage data is captured using first and third-party cookies and other tracking technologies to determine the popularity of products and services and online activity. Additionally, we use this information for site optimization, fraud and security purposes. We also use Google Analytics (GA4) to collect aggregated, anonymized traffic and usage data. For more information on how Google uses data collected via Google Analytics, visit https://policies.google.com/privacy.

AcerOS is a business tool not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us personal information, contact us at privacy@aceros.dev and we will delete it.

AcerOS is operated in the United States, and information we collect is processed and stored in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States, where data-protection laws may differ from those in your country.

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and may provide additional notice. Your continued use of the Service after changes take effect means you accept the updated policy.
