The Complete Guide to the AcerOS CRM

Every AcerOS plan now includes a full CRM built specifically for door-to-door sales. No extra subscription, no exporting to another tool — your leads flow straight from a pull into a working pipeline. This guide walks the whole feature, in the order you'll actually use it in your business.

1. Getting leads in (you mostly don't have to)

Pulls sync automatically. Every lead you generate in AcerOS lands in the CRM's Inbox on its own — address, sale data, source, everything. No copy-paste, no CSV round-trips. If you've run Owner Intel on an address, the owner's name attaches automatically too.

Three more ways to add leads when you need them:

  • Import (CRM → Import): bring your existing book of business over. The CSV importer includes column presets for common CRMs, so switching costs you minutes, not a weekend.
  • Quick add (the + button in the CRM header): type an address, done. For the lead you meet in the field that didn't come from a pull.
  • Backfill: account owners can import their historical AcerOS runs from before the CRM existed, in one click from the Import tab.

2. The pipeline — your day at a glance

Leads move through eight stages: Inbox → New → Attempted → Contacted → Appointment → Quoted → Closed Won / Closed Lost.

On desktop, Pipeline is a drag-and-drop board — pull a card from one column to the next as the deal moves. On your phone it becomes something better: a stage-by-stage list with one-tap dispositions. Standing at the door, you tap one button:

  • Not home → lead moves to Attempted
  • Talked → Contacted
  • Appointment → Appointment (and prompts you for the date/time)
  • Not interested → Closed Lost

This works with zero signal. Knock a whole street in a dead zone — every tap queues on your phone and syncs automatically the moment you're back online. You'll see a small chip showing queued actions until they sync.

3. Routes — stop eyeballing the map

After any lead pull, look next to the PDF and CSV export buttons: Plan route. Tap it, then tap Start from my location. AcerOS orders your stops into the shortest path — the math is a proper route optimizer, not a straight list — and opens the whole thing in Google Maps with turn-by-turn, starting from where you're standing. Long lists split into legs automatically (Google Maps caps waypoints).

The same planner lives in the CRM's Map view, so you can route any set of leads, not just fresh pulls.

4. The map and territories

CRM → Map shows every lead as a pin, colored by stage. Tap a pin for the lead's card and disposition buttons — you can work entirely from the map if that's your style.

If you run a team, switch the map to Territories mode: draw a zone with your finger or mouse, name it, pick a color, and assign it to a rep. New leads that land inside an active territory are auto-assigned to that rep, and Apply to unassigned sweeps existing leads into the right hands in one click.

5. The lead card — everything about one door

Tap any lead anywhere and the full card slides in:

  • Call / Text / Email buttons that open your phone's dialer or messages directly.
  • Notes with @mentions — type @ and a teammate's email to ping them; they get a notification.
  • Photos — snap the house, the roof, the panel, right from the card. Photos are private to your account.
  • Tasks — "call back Thursday 6pm" with a due date; it shows up in your Tasks list and your daily digest email.
  • Owner info — enrich a lead with the owner's name from AcerOS data (uses 1 credit).
  • Suggest next move — AI reads the lead's history and drafts your next step and an SMS you can send as-is.
  • Proposals — build a simple line-item proposal, send the homeowner a secure link, and they can accept and sign off from their phone. An accepted proposal moves the deal to Closed Won automatically.
  • Booking link — send a lead a private link where they pick an appointment slot from your real availability (set your hours in Calendar → Booking settings). Booked slots land on your CRM calendar.
  • Mark DNC — flags the contact do-not-contact; automations and postcards skip them permanently.

6. Follow-ups that don't slip

  • Tasks view buckets everything due: overdue, today, upcoming.
  • Every morning you have tasks due, you get a digest email listing them.
  • Calendar shows your appointments; subscribe once via the private ICS link and they appear in your Google/Apple calendar automatically.
  • Enable push notifications (Calendar tab → notifications card) and your phone buzzes for bookings, assignments, and mentions. On iPhone, add AcerOS to your Home Screen first — iOS requires it for notifications.

7. Postcards from the CRM — the Mail Pool

Here's a play that closes doors you never talk to: every house you knock where nobody answers, tap Add to mail pool. At the end of the week, open CRM → Mail, review the pool, select who deserves a postcard, and send. AcerOS prints and mails a professionally designed postcard with your business as the sender — the same Direct Mail engine you already know, now fed by your knocking.

You'll need Mail Credits and an approved postcard design (both under Dashboard → Direct Mail). Postcards are $1.99 each, all-in.

8. Automations — the CRM works while you sleep

CRM → Rules lets you set hands-off follow-up logic:

  • Rules: "if a lead sits in Attempted for 5 days → create a follow-up task" or "→ add it to the mail pool." Set once, runs daily.
  • Sequences: multi-step plays triggered when a lead enters a stage — day 0 create a task, day 3 add to mail pool, day 7 notify the manager.

Every automation respects DNC automatically, and nothing ever double-fires on the same lead.

9. For teams and managers

On Sales Team and Agency plans, invite reps under your subscription (Settings → Team Members) and everyone gets the CRM. As the owner you see it all:

  • Team view: knock streaks and a leaderboard — who's knocking, who's closing.
  • Assignment: give each rep their leads by hand or by territory.
  • Analytics (owner-only): funnel conversion, win rate, revenue, time-in-stage, and which zips actually produce.
  • Commissions: set per-rep rates and see earned commissions computed from closed deals.
  • A weekly report email lands every Monday with the team's numbers.

Agency plans additionally get webhooks and an API (CRM → Rules → Integrations) to pipe AcerOS leads into anything else you run.

10. Make it feel like an app

On your phone, open aceros.dev, tap Share → Add to Home Screen. AcerOS opens full-screen like a native app, keeps working offline in the field, and can send you push notifications. This is the setup every rep should run before their first route.
